The theme of the 2003 conference is using Integrated Workflow. The presentation schedule provides a topic in each time slot that should be of interest to the Commercial or Residential user. In addition, each time slot provides a topic focused at the Property Manager called The PM Series. The session design is workflow discussions on range of topics - each session will flow into the next. The sessions will be presented by a team of PMAS users assisted by a member of the PMAS staff member. Again, the PMAS Labs will be open at convenient times throughout the conference.
Wednesday, July 16th
PMAS and the Future
John Stalick, Rick Clark and Frank Patterson will discuss the first year of PMAS the organization and PMAS the product. They will present the progress made to date on the PMAS version 3, plans for the coming year, changes to existing processes and other improvements and enhancements. What's done, what's still to come? They will announce and discuss new releases in the PMAS family of products. And, finally they will discuss the support operation, its training programs, growth strategies and what all this means to you!
Reporting with PMAS
A vital part to the concept of Integrated Workflow is information reporting to the end user. This discussion will encompass the options available in PMAS as well as a review of the Crystal Reports developer. We will chair a discussion with users who have volunteered to share some of the reports they have developed to satisfy the reporting requirements of their firms.

User Group Planning and Discussions
The User Group Committee chairs an open forum to discuss committee business and questions related to PMAS procedures and suggestions that the Group would like to make to improve their interaction with PMAS and the staff.
Thursday, July 18th
Lease Abstracting and TUMS - Commercial
PMAS will present an overview of both the Lease Abstracting system - LADS and TUMS. This work session will focus on the basics of creating an abstract - from effective design to the production of the printed document. We will also discuss the integration of Imaging - connection of a scanned document to the appropriate data panel within the abstract. We fill finish with a review of tickler setup and integration of the bump list for follow through of key dates.
Rent Escalations, Expense Recoveries and Retail Sales - Commercial
As a result of last year's session, many processing changes were implemented. In this session we will examine the module with a conceptual review of setup and processing of the lease data. This is a work session designed to help you get your escalations and recoveries operational and help you get the most out of your Sales Reporting and Percentage Rent billings. Let's roll up our sleeves and get to work.
Budgeting and Rental Projections
Our focus will be the use of this PMAS tool to satisfy our budgeting needs. We will review the capabilities to develop both the revenue and expense portions of the operating budget, budget notes and monthly reporting. We will continue discussions on users needs for future enhancements
Payroll
This session is designed as a preliminary review of the product strengths and weaknesses as we ready for the V3.0 rewrite. We will examine what features are necessary to satisfy complete payroll processing requirements - monthly, quarterly and annual
Calendaring, Ticklers, Reminders and the Document Checklist
Everyone has missed a deadline, or forgotten a renewal date and paid the price. Use the PMAS Reminder system or the Tickler Utility Management System as your automated assistant to keep you from forgetting important deadlines. We will further discuss the new document checklist - an electronic control of specific requirements necessary to satisfy a process
Regulated Housing Overview - Residential
Discussions will include the integration of the tenant data between the various modules and functions in PMAS, including applicants, tenants, HUD certifications, Rural Development certifications and Section 42 qualifying. Further, we will provide a detailed review of the Section 42 Tax Credit application. It will include the functions available, the setup requirements, and processing capabilities
Assisted Living - Residential
This segment will present the new PMAS Assisted Living module. We will review Resident Information, Resident Care, Medication Administration, Charges, Reporting and the integration to PMAS A/P and G/L.
The PM Series
This series will be continuous review of the processes most important to the Property Manager. Each of the topics below will be addressed throughout the day.
Executive Desktop -The PM Series
The Executive Desktop System (EDS) provides a customizable user interface into the PMAS data for executives and other departments that need access to lease and financial data, but aren't authorized to the full power of PMAS. We will review a product designed for easy use that places vital lease and financial data at the user's fingertips.
Guest Card to Resident Tracking - The PM Series
This is a discussion of the PMAS features that focus on site management. The review will address setup of site-specific data configurations and the workflow of tracking Contacts to Residents - from Guest Card through the application process to move-in and onto move-out. We'll review available features and discuss how we can continue to make PMAS better to meet your informational and reporting needs.
Marketing and Traffic Reporting - The PM Series
This session will focus on the how the marketing data collected and statistical calculations can provide valuable information on your leasing programs. We will further focus on specific reporting needs to communicate that information to you as Managers.
Billing and Legal - The PM Series
We will emphasize the capabilities of the PMAS accounts receivable system to track and report Tenant/Lease/Resident billings, outstanding A/R and legal proceedings. We will review the integration of the PMAS Document Checklist and again Imaging to provide immediate access to important tenant lease documents, correspondence and follow-up.
Vendor Tracking - The PM Series
Our discussion will focus on how to use the Vendor system to track vendor contacts, insurance requirements, contract history and other critical dates. We will review the integration of Imaging to provide immediate to access the contracts and insurance certificates. Further discussions will help define the reporting requirements of the Property Manager.
Financial Reporting Options - The PM Series
We will review the tools available in PMAS to accomplish the financial reporting needs of the Property Manager. Discussion will review the standard capabilities within PMAS as well as the use of the Crystal Reports Developer.
Workorder and Preventive Maintenance
We will review the integration of work-orders for both in-unit service and preventative maintenance. Whether pre-scheduled preventative maintenance, resident service request or move out punch lists, all tracking is done in one list. We will also review the Resident billing feature of chargeable work-orders.
Energy Tracking and Utility Billings
We will include a brief review of this module that tracks utility consumption and costs and the integration to the A/P and A/R systems.
Friday, July 19th
Invoice Approval Tracking
This session will be conducted as a workflow examination of your payables process. Let's follow an invoice from the mailroom through entry, the approval process via the built-in bump list to the Accounts Payable system. Discussions will review the interface of Imaging to the approval process and electronic filing for historical tracking and retrieval. We will also review the ability of the invoices to begin it' journey at the site and subsequent transmission of images to the home office
Remote Processing
This session will focus on the synchronization of the remote site information to the home office. We will review what files and data are transferred between the locations. We will take an in depth look at the audit reports to understand what they tell us. Further, we will discuss recovery options and troubleshooting techniques in the case of incomplete synchronization.
Managing Your Desktop
Managing your desktop will cover techniques and tools that will help you get the most out of the workspace you face every day - the computer screen. It will include quick overviews of the Windows tools, PMAS menus and the Executive Desktop to show ways to improve the access to your enterprise information for everyone in the organization.
Wrap-up and Finale
Rick Clark and Frank Patterson will review the suggestions from the User Group and from the sessions during the conference. They will discuss their plans for the coming year, including new enhancements, changes to existing processes and procedures and other improvements and enhancements that will improve the product and their services to the users.
PMAS Advanced Client Server Labs
PMAS is providing hands on experience with the new PMAS V30 products in a lab environment, with support provided by PMAS staffers. Come in, sit down, and get some 'driving' time with the new products.
The Lab will be open daily during the Conference to allow attendees to spend some time working with the new programs. Go to the sessions that interest you, then spend some time in the Lab trying the new functions.
